These General Terms and Conditions apply to all events organised by AmBal Consulting, trading as The Troll’s Tavern, including but not limited to Dungeons & Dragons events, board game evenings, miniature painting sessions, crafting workshops, terrain-building workshops, themed dining events, and other social, hobby, or creative events.
1. Definitions
In these Terms:
Organiser means AmBal Consulting, trading as The Troll’s Tavern.
Participant means the person attending or taking part in an event.
Buyer means the person purchasing one or more tickets.
Event means any activity organised, hosted, or facilitated by The Troll’s Tavern.
Ticket means the proof of purchase granting access to a specific Event.
Venue means the location where the Event takes place.
Tools and Materials means any items used during an Event, including but not limited to hobby knives, scissors, glue, paints, spray products, brushes, clippers, hot wire cutters, heat tools, miniature tools, crafting materials, terrain-building materials, food-related items, and other workshop equipment.
2. Applicability
These Terms apply to every offer, booking, Ticket purchase, and participation in an Event organised by The Troll’s Tavern.
By purchasing a Ticket or attending an Event, the Buyer and/or Participant agrees to these Terms.
If additional rules apply to a specific Event, these will be stated on the event page, ticket page, confirmation email, or at the Venue. If event-specific rules conflict with these Terms, the event-specific rules apply first.
3. Tickets and payment
Tickets are only valid after full payment has been received, unless explicitly agreed otherwise in writing.
Tickets are issued for a specific Event, date, time, location, and where applicable a specific ticket tier.
The Organiser may refuse entry if a Ticket cannot be verified, has already been used, appears to have been copied or misused, or was obtained through fraud or unauthorised resale.
4. Prices and inclusions
All prices are stated in euros and include VAT where applicable, unless stated otherwise.
The ticket description states what is included, such as food, drinks, materials, workshop supplies, game facilitation, or other event-specific items.
Items not expressly listed as included are not included in the Ticket price.
5. No statutory cooling-off period for dated events
Tickets for Events are linked to a specific date, time, or period. For leisure services provided on a specific date or during a specific period, the usual 14-day withdrawal right for distance purchases does not normally apply under EU consumer-rights rules.
This means that, unless the Organiser states otherwise, the Buyer does not have a 14-day cooling-off period after purchasing an Event Ticket.
6. Cancellation by the Buyer or Participant
Tickets are non-refundable unless the event page or these Terms state otherwise.
A Buyer may transfer a Ticket to another person if:
- the Organiser is informed before the Event;
- the new Participant meets the Event’s age, safety, and participation requirements;
- the Ticket has not already been used;
- the transfer is not part of commercial resale, fraud, or misleading pricing.
The Organiser may, at its discretion, offer a voucher, alternative Event date, or partial refund, but is not required to do so unless required by law.
7. Cancellation or changes by the Organiser
The Organiser may cancel, postpone, relocate, or modify an Event if reasonably necessary, including in cases of illness, low attendance, venue issues, supplier issues, safety concerns, weather, force majeure, or circumstances outside the Organiser’s reasonable control.
If the Organiser cancels an Event, the Buyer will be offered a refund, replacement Event, or voucher.
If the Organiser postpones or relocates an Event, the Buyer will be informed as soon as reasonably possible. If the new date or location is not reasonable for the Buyer, the Organiser will offer an appropriate solution.
The Organiser is not responsible for additional costs incurred by the Buyer or Participant, such as travel, parking, accommodation, childcare, or loss of income, unless required by law.
8. Participation and personal responsibility
Participants are responsible for their own behaviour, choices, actions, and use of Tools and Materials during the Event.
Participants must act carefully, sensibly, and respectfully towards themselves, other participants, staff, game masters, workshop leaders, venue staff, and property.
Participants must follow all safety instructions given by the Organiser, workshop leader, game master, venue staff, or any person acting on behalf of the Organiser.
Participants must not use Tools and Materials in a careless, unsafe, aggressive, reckless, intoxicated, or inappropriate manner.
Participants are responsible for damage, injury, loss, or additional costs caused by their own deliberate, reckless, negligent, or rule-breaking behaviour, to the extent permitted by law.
9. Use of tools and workshop materials
Some Events may involve the use of tools or materials that can cause injury, burns, cuts, stains, irritation, or property damage if used incorrectly. These may include, for example:
- hobby knives;
- scissors;
- clippers;
- hot wire cutters;
- heat tools;
- glue guns;
- sharp modelling tools;
- paints, inks, washes, sprays, pigments, and solvents;
- terrain-building foam, wood, cardboard, resin, plastic, or other modelling materials.
Participants must only use Tools and Materials for their intended purpose and in the manner instructed.
Participants must immediately stop using a tool or material if they are unsure how to use it safely, and must ask for assistance.
Participants must not bring or use their own dangerous tools, blades, heat tools, chemicals, or other materials unless this has been approved by the Organiser in advance.
The Organiser may refuse, restrict, or stop the use of any tool or material if the Organiser considers this necessary for safety reasons.
10. Sharp tools, knives, and cutting equipment
Where sharp tools are used, Participants must:
- cut away from themselves and others;
- use cutting mats or designated surfaces where provided;
- keep blades closed, covered, or safely placed when not in use;
- never point, swing, throw, play with, or misuse sharp tools;
- immediately report damaged tools or unsafe situations;
- follow all instructions from the Organiser or workshop leader.
The Organiser may remove access to sharp tools from any Participant who uses them unsafely.
11. Hot wire cutters, heat tools, and burns
Where hot wire cutters, glue guns, heat tools, or heated equipment are used, Participants must:
- only use them after safety instructions have been given;
- keep hands, hair, clothing, paper, and flammable materials away from heated parts;
- use heat-resistant surfaces where provided;
- allow tools and materials to cool before touching or storing them;
- never leave heated tools unattended;
- immediately report burns, overheating, smoke, damage, or unsafe conditions.
Hot wire cutters and heat tools may produce heat, fumes, or melted material. Participants must follow ventilation and material-use instructions. The Organiser may prohibit use of certain materials if they are unsuitable or unsafe.
12. Paints, glue, fumes, and stains
Participants must use paints, glue, sprays, solvents, and similar materials carefully and only as instructed.
Participants are responsible for protecting their own clothing and belongings from paint, glue, stains, cuts, burns, dust, or other workshop-related damage.
The Organiser may provide aprons, gloves, ventilation, or protective equipment where appropriate, but Participants remain responsible for using such equipment correctly.
Participants must inform the Organiser in advance if they have allergies, sensitivities, asthma, respiratory issues, skin conditions, or other medical concerns that may be relevant to paints, glue, dust, fumes, food, or workshop materials.
13. Safety instructions and removal from the Event
The Organiser may refuse participation, restrict tool use, or remove a Participant from the Event without refund if the Participant:
- ignores safety instructions;
- uses Tools and Materials unsafely;
- endangers themselves or others;
- damages property;
- behaves aggressively, abusively, discriminatorily, or disruptively;
- is visibly intoxicated or under the influence of drugs;
- breaches these Terms or event-specific rules.
This is necessary to protect the safety and enjoyment of other Participants.
14. Alcohol, drugs, and impaired participation
Participants may not use sharp tools, hot tools, cutting tools, or other potentially dangerous materials while intoxicated or impaired.
The Organiser may refuse tool use or Event participation if, in the Organiser’s reasonable opinion, a Participant is not able to participate safely.
Illegal drugs are not permitted at Events.
15. Age restrictions and minors
Some Events may have minimum age requirements. These will be stated on the event page.
Participants under 18 may only attend if the Event allows minors and, where required, with permission from a parent or legal guardian.
For Events involving sharp tools, hot tools, or potentially hazardous materials, minors may be restricted from using certain tools or may require direct supervision.
The Buyer is responsible for ensuring that Tickets are purchased only for Participants who meet the age and safety requirements.
16. Food, drinks, and allergies
Where food or drinks are included, this will be stated on the event page.
Participants are responsible for informing the Organiser in advance of allergies, dietary restrictions, intolerances, or medical conditions relevant to food, drinks, or participation.
The Organiser will make reasonable efforts to accommodate dietary requests, but cannot guarantee that food or drinks are free from allergens, traces of allergens, or cross-contamination.
Participants remain responsible for deciding whether food or drinks are suitable for them.
17. Personal belongings and clothing
Participants are responsible for their own belongings, clothing, bags, coats, miniatures, tools, materials, phones, and other personal items.
The Organiser is not liable for loss, theft, staining, wear, accidental damage, or workshop-related damage to personal belongings, unless caused by intent or gross negligence by the Organiser.
Participants are advised not to wear valuable or delicate clothing to crafting, painting, terrain-building, or workshop Events.
18. Damage to property
Participants must treat the Venue, tools, furniture, materials, games, miniatures, terrain, and other property with care.
Participants may be held responsible for damage caused by deliberate, reckless, negligent, or unsafe behaviour, to the extent permitted by law.
19. Health and medical conditions
Participants are responsible for assessing whether they are able to safely participate in the Event.
Participants should inform the Organiser in advance of any medical condition, allergy, disability, mobility issue, sensory sensitivity, or other circumstance that may require reasonable accommodation or may affect safe participation.
The Organiser will make reasonable efforts to accommodate Participants where possible, but cannot guarantee that every Event or Venue will be suitable for every Participant.
20. Code of conduct
The Troll’s Tavern aims to provide a welcoming, inclusive, and friendly environment.
Participants must not engage in harassment, intimidation, discrimination, bullying, unwanted physical contact, unsafe behaviour, or behaviour that disrupts the Event.
The Organiser may remove Participants who breach this code of conduct without refund.
21. Photos, videos, and social media
The Organiser may take photos and videos during Events for promotional, archival, and social media purposes.
Where a Participant is clearly recognisable, the Organiser will rely on consent where required.
Photo and video consent should be requested separately from acceptance of these Terms. Consent may be given during checkout, registration, or at the Event.
If a Participant gives consent, they agree that photos or videos in which they are recognisable may be used by The Troll’s Tavern / AmBal Consulting for promotional purposes, including on websites, social media channels, newsletters, flyers, advertisements, and other promotional materials.
A Participant may withdraw consent at any time by contacting the Organiser. Withdrawal does not affect use that took place before withdrawal, but the Organiser will make reasonable efforts to stop future use and remove the relevant photo or video from channels controlled by the Organiser.
The Organiser cannot guarantee removal of content that has already been shared, downloaded, copied, reposted, archived, or otherwise processed by third parties or social media platforms.
Participants who do not want to appear in photos or videos should inform the Organiser before or during the Event.
22. Privacy
The Organiser processes personal data only as necessary for ticket sales, event administration, payment handling, communication, customer service, safety, dietary/allergy handling, and where applicable photo/video consent and publication.
Personal data may include name, email address, payment details, ticket details, dietary information, allergy information, consent records, communication history, and event participation details.
Personal data will not be sold to third parties.
The Organiser may use external service providers for ticketing, payments, email, website hosting, administration, or social media. These providers may process personal data only where necessary for their services.
Participants may contact the Organiser to request access, correction, deletion, restriction, objection, or withdrawal of consent, subject to applicable law.
23. Intellectual property
All event concepts, texts, graphics, logos, workshop materials, hand-outs, scenarios, game materials created by the Organiser, promotional materials, and other original materials remain the property of the Organiser or the relevant rights holder.
Participants may not commercially copy, reproduce, distribute, or use these materials without prior written permission.
24. Third-party games, brands, and materials
Some Events may use or refer to third-party games, systems, miniatures, books, brands, or materials.
All third-party intellectual property remains the property of its respective owners.
Unless expressly stated, The Troll’s Tavern is not affiliated with, endorsed by, or sponsored by those third-party rights holders.
25. Liability
The Organiser will take reasonable care in organising the Event, providing instructions, and maintaining a safe and welcoming environment.
Participation in Events, including crafting, terrain-building, painting, food-related activities, and use of Tools and Materials, is at the Participant’s own risk.
The Organiser is not liable for damage, injury, loss, or costs resulting from:
- a Participant’s failure to follow instructions;
- careless, reckless, unsafe, or inappropriate use of Tools and Materials;
- behaviour of other Participants or third parties;
- pre-existing medical conditions or allergies not disclosed in advance;
- damage to clothing or personal belongings during normal workshop activities;
- loss or theft of personal belongings;
- circumstances outside the Organiser’s reasonable control.
The Organiser does not exclude or limit liability for damage caused by intent, gross negligence, or liability that cannot legally be excluded or limited under Dutch or EU law.
Nothing in these Terms limits statutory consumer rights.
26. Force majeure
The Organiser is not liable for failure to perform obligations caused by circumstances beyond its reasonable control, including illness, extreme weather, fire, power failure, venue closure, government measures, transport disruption, supplier failure, safety incidents, or other force majeure events.
In such cases, the Organiser will make reasonable efforts to offer a suitable alternative, such as postponement, replacement Event, voucher, or refund, depending on the circumstances.
27. Complaints
Complaints should be submitted by email to [email address] as soon as possible and preferably within 14 days after the Event.
The Organiser will respond within a reasonable period and will try to resolve complaints fairly.
28. Governing law and disputes
These Terms are governed by Dutch law.
Disputes will preferably be resolved through discussion. If no solution is reached, disputes may be submitted to the competent court in the Netherlands.
